In short
We collect only the information we need to provide our services, we protect it with appropriate security measures, we never sell it, and you can ask us at any time what we hold about you, correct it, or have it deleted. We process personal information in accordance with the Protection of Personal Information Act, 2013 (POPIA).
1. Who we are
RLM Consultancy ("we", "us", "our") provides management tools and consulting services that help small and medium enterprises streamline finance, operations, and team workflows. For the purposes of POPIA, RLM Consultancy is the responsible party for personal information collected through this website and our platform.
2. Information we collect
Information you give us
- Account details — name, company, email address, phone number, business type, and password when you create an account.
- Enquiry details — information you send us when you request a demo, book a consultation, or contact us by email.
- Business data — client records, financial data, and operational information you choose to store in our tools when using the platform.
Information collected automatically
- Usage data — pages visited, features used, and general activity on the site and platform.
- Technical data — IP address, browser type, and device information, used for security and to keep the service working properly.
3. How we use your information
- To create and manage your account and give you secure access to our tools.
- To provide, support, and improve our services.
- To respond to enquiries, demo requests, and consultation bookings.
- To send service-related communications, such as account notices and support responses.
- To meet our legal and regulatory obligations.
We do not sell your personal information, and we do not use your stored business data for any purpose other than providing the services you signed up for.
4. Lawful basis for processing
We process personal information where it is necessary to perform our contract with you (providing your account and our services), where we have a legitimate interest (securing and improving the service), where you have consented (for example, optional marketing communications), or where we are required to by law.
5. How we protect your information
- Secure login and protected account access.
- Encrypted data transmission (HTTPS/TLS).
- Controlled, role-based access to business records.
- Safe storage for client and company information with reputable hosting providers.
- Regular review of our security measures and access controls.
No system can be guaranteed 100% secure, but we take reasonable, appropriate technical and organisational measures as required by POPIA to protect your information against loss, unauthorised access, and misuse. If a data breach occurs that affects your personal information, we will notify you and the Information Regulator as required by law.
6. Sharing your information
We share personal information only with:
- Service providers who help us operate the platform (such as hosting and email providers), under contracts that require them to protect your information.
- Legal authorities where we are required to do so by law.
Where a service provider processes information outside South Africa, we ensure the destination provides an adequate level of protection as required by POPIA.
7. How long we keep your information
We keep account information for as long as your account is active. Business data you store in our tools remains yours; if you close your account, we will delete or return it within a reasonable period, except where the law requires us to retain certain records. Enquiry information is kept only as long as needed to handle your request.
8. Your rights
Under POPIA, you have the right to:
- Ask what personal information we hold about you.
- Request correction of inaccurate or incomplete information.
- Request deletion of your personal information, subject to legal retention requirements.
- Object to processing, including for direct marketing.

To exercise any of these rights, contact us using the details below. We will respond within a reasonable time and at no charge for reasonable requests.
9. Cookies
We use only the cookies necessary for the site and platform to function, such as keeping you logged in. We do not use advertising or cross-site tracking cookies. If we introduce analytics cookies in future, we will update this policy and ask for your consent where required.
10. Changes to this policy
